Re-configuring Port & Security Settings for mail4.sterling.net

Select your email client or device from the sections below and follow the step-by-step instructions to update your port and security settings.

Outlook for Windows

  1. Open Outlook

  2. At the top click "File" then "Account Settings", and then select "Account Settings" again.

  3. In Account Settings under the "E-mail" tab double-click the POP/SMPT mailbox that you want to re-configure.

  4. Under "Change Account", click "More Settings". See screenshot below.

    Note: if you do not see the screen below then you may need to access these settings via the Windows Control Panel. If you have Windows 11 go to the Search box and type "Control Panel" the Control Panel feature should appear, click on that. In the upper-right corner under "View by:" select "Small icons". Then click on the "Mail" icon.

    Click on "E-Mail Accounts". This should open the screen you see below. Continue with Step 4 above.

  5. In "Internet E-mail Settings" box, under "Outgoing Server" verify your settings look like the screenshot below.

  6. Click the "Advanced" tab. Under "Server Port Numbers" verify your settings look like the screenshot below. If "TLS" is not an option choose "SSL/TLS".

  7. Click "OK" to save your changes.

  8. After you click "OK" you will be back at the "Change Account" box. Click "Next" and the "Test Accounts Settings" window will pop up and test the connection. See screenshot below. If successful it will show completed and then you can click "Close" and then "Finish".

  9. Test mailbox. Send a test email to an alternative email address to verify you can send an email. Reply to the email to verify that you can receive an email.

Outlook for Windows

  1. Open Outlook

  2. At the top click "File" then "Account Settings", and then select "Account Settings" again.

  3. In Account Settings under the "E-mail" tab double-click the IMAP/SMPT mailbox that you want to re-configure.

  4. In the Change Account settings, click "More Settings". See screenshot below.

    Note: if you do not see the screen below then you may need to access these settings via the Windows Control Panel. If you have Windows 11 go to the Search box and type "Control Panel" the Control Panel feature should appear, click on that. In the upper-right corner under "View by:" select "Small icons". Then click on the "Mail" icon. Click on "E-Mail Accounts". This should open the screen you see below. Continue with the steps above.

  6. Click the "Advanced" tab. Under "Server Port Numbers" verify your settings look like the screenshot below. If "TLS" is not an option choose "SSL/TLS".

  7. Click "OK" to save your changes.

  8. After you click "OK" you will be back at the "Change Account" box. Click "Next" and the "Test Accounts Settings" window will pop up and test the connection. If successful it will show completed and then you can click "Close" and then "Finish".

  9. Test mailbox. Send a test email to an alternative email address to verify you can send an email. Reply to the email to verify that you can receive an email.

Thunderbird for Windows

  1. Open Thunderbird.

  2. Click the Settings button Settings button in the bottom left pane.

  3. Click "Account Settings" at the bottom.

  4. Click "Server Settings" under the mailbox that you want to update Port & Security settings for.

  5. Verify that your Port and Security Settings match the settings in the screen shot below.

  6. Click "Outgoing Server (SMTP)" on the left side

  7. Select mail4.sterling.net and click "Edit".

  8. Verify that your Port and Security settings match the settings in the screen shot below.

Thunderbird for Windows

  1. Open Thunderbird.

  2. Click the Settings button Settings button in the bottom left pane.

  3. Click "Account Settings" at the bottom.

  4. Click "Server Settings" under the mailbox that you want to change Port & Security settings for.

  5. Verify that your Port and Security Settings match the settings in the screen shot below.

  6. Click "Outgoing Server (SMTP)" on the left side

  7. Select mail4.sterling.net and click "Edit".

  8. Verify that your Port and Security settings match the settings in the screen shot below.

Mail App for MAC

  1. Go to Mail -> Preferences… from the menu.

  2. Under Accounts select the POP mailbox you want to change. Go to the Server Settings tab. Verify that your Port and Security (Use TLS/SSL) settings match the settings in the screen shot below. Click Save.

Mail App for MAC

  1. Go to Mail -> Preferences… from the menu.

  2. Under Accounts select the IMAP mailbox you want to change. Go to the Server Settings tab. Verify that your Port and Security (Use TLS/SSL) settings match the settings in the screen shot below. Click Save.

  3. Click on the "Server Settings" button or look to the right pane to find Incoming and Outgoing server details.

  4. If the port fields are locked, deselect the checkbox for "Automatically manage connection settings" if available, or check the box "Override default port".

  5. Set "Incoming server" port to "995" and check the box "Use SSL to connect". See screenshot below.

  6. Set "Outgoing server" port to "587" and check the box "Use SSL to connect". See screenshot below.

iPhone – Mail App

  1. Go to "Settings".

  2. Go to "Apps".

  3. Locate and click on the "Mail" app. Apps

  4. Click on "Mail Accounts".

  5. Locate your @sterling.net mailbox and click on it.

  6. Go to "Account Settings".

  7. Under "Outgoing Mail Server" click on "SMTP mail4.sterling.net"

  8. Under "Primary Server" click on "mail4.sterling.net".

  9. Under "Outgoing Mail Server" click on the button to enable "Use SSL". Verify "Server Port is set to "587". See screenshot below.

  10. Click the "Left" arrow to go back to "Account Settings".

  11. Scroll down and then click on "Advanced".

  12. Scroll down until you see "Incoming Settings" and then click the button to enable "Use SSL". Verify that the "Server Port" is set to "993". See screenshot below.

  13. Click "Done". The Mail app should now try connecting to the mail server with the new settings, if successful you can close the Mail app settings.

  14. Test sending and receiving an email using your iPhone Mail app.

iPhone – Mail App

  1. Go to "Settings".

  2. Go to "Apps".

  3. Locate and click on the "Mail" app. Apps

  4. Click on "Mail Accounts".

  5. Locate your @sterling.net mailbox and click on it.

  6. Go to "Account Settings".

  7. Under "Outgoing Mail Server" click on "SMTP mail4.sterling.net"

  8. Under "Primary Server" click on "mail4.sterling.net".

  9. Under "Outgoing Mail Server" click on the button to enable "Use SSL". Verify "Server Port is set to "587". See screenshot below.

  10. Click the "Left" arrow to go back to "Account Settings".

  11. Scroll down and then click on "Advanced".

  12. Scroll down until you see "Incoming Settings" and then click the button to enable "Use SSL". Verify that the "Server Port" is set to "995". See screenshot below.

  13. Click "Done". The Mail app should now try connecting to the mail server with the new settings, if successful you can close the Mail app settings.

  14. Test sending and receiving an email using your iPhone Mail app.

iPhone – Outlook

  1. Open your Outlook app.

  2. If you have more than one account, click the Home looking icon next to "Inbox". Outlook icon

  3. Click the "Settings" icon in the bottom left pane. Settings icon

  4. Under "General" click "Accounts".

  5. Click the account you want to update Port & Security settings for.

  6. Scroll down and click on "Edit Login Information".

  7. Click the button to enable "Use Advanced Settings".

  8. Under "IMAP Incoming Mail Server" change the IMAP Port to "993". (See screenshot below)

    Under "Port Security" click "NONE" to make changes and then select "STARTTLS". (See screenshot below)

  9. Under "SMTP Outgoing Mail Server" verify that the "SMTP Port" is set to "587". (See screenshot below)

  10. Under "Port Security" click "NONE" to make changes and then select "STARTTLS". (See screenshot below)

  11. Click the "Sign in" button to connect your mailbox using the new settings.

  12. Test sending and receiving an email.

Android - Gmail

Android - Gmail - IMAP
  1. Open Gmail: Open the Gmail app on your Android device.

  2. Access Settings: Tap the hamburger menu (three horizontal lines) in the top-left corner and select Settings.

  3. Select Account: Tap the specific email account you wish to edit.

  4. Edit Incoming/Outgoing: Scroll down to find Incoming Settings or Outgoing Settings.

  5. Modify Port and Security:

    1. Incoming (IMAP): Update to Port "993" with Security Type "SSL/TLS".
    2. Outgoing (SMTP): Update to Port "587" with "STARTTLS"
  6. Save Changes: Tap Done to save and verify the new settings.

  7. Test sending and receiving an email.

Android - Gmail - POP
  1. Open Gmail: Open the Gmail app on your Android device.

  2. Access Settings: Tap the hamburger menu (three horizontal lines) in the top-left corner and select Settings.

  3. Select Account: Tap the specific email account you wish to edit.

  4. Edit Incoming/Outgoing: Scroll down to find Incoming Settings or Outgoing Settings.

  5. Modify Port and Security:

    1. Incoming (IMAP): Update to Port "995" with Security Type "SSL/TLS".
    2. Outgoing (SMTP): Update to Port "587" with "STARTTLS"
  6. Save Changes: Tap Done to save and verify the new settings.

  7. Test sending and receiving an email.

Log in with your current User ID and Password.

To Compose a new email, click the green circle/pencil button compose towards the bottom of the screen. You will be given the option to either "Write a new message" or "Write a message in a new window". Choose one. Add a recipient address, Subject, click CC or BCC to add an address as a carbon copy or blind carbon copy, click on the three dots (ellipsis) to set Priority. Click the Paperclip to add an attachment. Click the Floppy Disk floppy disk at the top right to save a draft copy. Click the right arrow send at the top right to send email.

To Delete an email mouse over the person icon person icon next to an email and you will notice that a check box appears. Click that box and any others that you want to delete and then click the Trashcan icon at the top to delete the email(s). You can also drag and drop emails to the Trash in the left pane.

To Move an email, you can either drag & drop the email to the desired folder in the left pane, or click the check box next to the email and then click the three dots (ellipsis) at the top, scroll down to "Move To", locate and click on the desired destination folder.

To create a New Folder, click the three drops (ellipsis) next to the Inbox and select "New Subfolder...".

To access Preferences for Mail, Calendar, Address book and other items such as Time Zone, Date & Time Format, click the sprocket icon sprocketat the top to the right of your name and email address.

To access Mailcow Preferences such as "Change password", "Spam Filter", "Quarantine" settings, click the wrench icon wrench at the top right.
